Executive Assistant to the Director

The Office of Educational Innovation and Evaluation (OEIE) at Kansas State University in Manhattan, KS seeks an Executive Assistant to join a service-oriented multi-disciplinary team to provide support to the Director as well as providing executive level, collaborative administrative support to our office as a whole. A bachelor’s degree is required.

Responsibilities:

  • Manage office and director's calendar
  • Schedule meetings/events including room reservations, setup, etc.
  • Prepare director for meetings/events by providing background information, meeting agendas, talking points, and other essential documentation and research information
  • Provide daily updates to director regarding important deadlines/reminders, vital news, phone messages, and important documents needing reviewed and/or signed
  • Assist in project management including processing contracts/scopes of work, project invoices, and update/maintain project database
  • Supervise support staff with respect to overseeing schedules, approving leave/timesheets, and providing feedback
  • Manage incoming and outgoing communications including telephone, e-mail and fax
  • Maintain department files in accordance with University regulations and office policies
  • Manage the day-to-day operations of the office
  • Administer Human Resource (HR) functions for office personnel
  • Manage procurement card for departmental purchasing
  • Draft meeting agendas and minutes
  • Prepare and proofread a wide variety of documents and correspondence
  • Organize travel, prepare itineraries, plan for support needed at destination, and accurately complete expense reimbursement vouchers
  • Coordinate and assist in a variety of office operations and other duties as assigned by the Director.

Ideal candidate must be comfortable working in an environment with frequent phone and on-line interaction and able to complete assignments on-time without extensive supervision. The successful candidate will have the ability to interact well with diverse groups of individuals while maintaining a professional demeanor.

OEIE is a fast-paced and growing office at Kansas State University.  OEIE provides technical assistance and capacity building services in evaluation and program development to various state and federal agencies, universities, foundations, and businesses. OEIE has conducted research and evaluation services for over 200 projects totaling $250 million sponsored by the U.S. Department of Agriculture, National Science Foundation, U.S. Department of Education, U.S. Department of Defense Education Activity, Kansas Board of Regents, Kansas State Department of Education, and  Kansas Department of Health and Environment, Kansas Health Foundation, and the Ewing Marion Kauffman Foundation, to name a few. Required Qualifications:

  • Bachelor's degree from an accredited college or university
  • Excellent verbal and written communication skills, including composition and editing
  • Experience with scheduling/calendar management and event/meeting coordination
  • Demonstrated customer service experience and superior interpersonal skills
  • Team player with the ability to work in a dynamic, professional environment
  • Experience that demonstrates strong organizational skills and an ability to manage details with accuracy
  • Experience that demonstrates an ability to multi-task with frequent interruptions, excellent time management and judgment, and the ability to manage complex operations in a fast-paced environment
  • Demonstrated outstanding level of professionalism including demeanor, courtesy, cooperative attitude and the ability to exercise good judgment acting with discretion, tact and diplomacy
  • Extremely proficient with Microsoft Office, especially Word and Excel
  • Ability to learn and adapt to new systems quickly

Preferred Qualifications:

  • Two or more years' experience related office assistant or administrative support role
  • Ability and desire to work within a completely electronic file management system
  • Experience using the Microsoft Outlook, Adobe Acrobat Professional, and/or utilizing Microsoft Access databases for data entry
  • Web editing experience
  • Familiarity with grant preparation and submission
  • Experience with creating and editing professional/technical writing

Salary: Competitive salary commensurate with skills and experience.                                                                                           

Appointment Conditions: Term 12-month appointment contingent upon continued availability of funding, need for these services and satisfactory of performance evaluation.
